Overview: CREATE’s Community Grants Coordinator plays a central role at the arts council administering regrant and professional development programs. CREATE oversees the New York State Council on the Arts (NYSCA) Statewide Community Regrant Program (SCR), which awards over $175,000 annually for Arts Education, Community Arts Projects, and individual artist support in Greene, Columbia & Schoharie Counties as well as county funded initiatives. 

The position requires a highly organized individual with excellent writing, communication, and spreadsheet skills. This role requires the ability to work collaboratively, take initiatives to execute projects independently, and manage multiple tasks and deadlines efficiently.  The candidate must demonstrate exemplary follow-through and a strong commitment to CREATE’s mission, effectively advocating for the organization in professional and public settings. Ideal candidates have a minimum 2 years in administrative positions related to the arts, nonprofits, and/or grants-related work. During the grants administration cycle, the majority of the work is office-based admin at the Main St. office with intermittent required travel across the tri-county service area to present grant seminars, attend arts events, and job related conferences and meetings.

Responsibilities: 

  • Manage all aspects of CREATE Arts’ re-granting programs and steward critical relationships with NYSCA program officers. To effectively manage the NYSCA and CREATE grant programs, it is essential to maintain a thorough understanding of their guidelines, priorities, and criteria, updating this knowledge annually as needed. This role involves orienting applicants to the program guidelines and assisting them with their application preparation through various means, including in-person and zoom/telephone meetings, emails, and technical assistance seminars. Additionally, it is necessary to complete all required reporting to NYSCA, convene steering or advisory committees for the grant programs, and maintain detailed program-related records. Auditing funded programs is also a key responsibility, along with contributing to the drafting of the annual NYSCA grant application and the annual work plan.
  • Create marketing strategy and execute promotion of all grant opportunities, publicize grantees/their programs and professional development opportunities to regional artists and organizations
  • Lead resource and technical support through development of current grant programs and research of outside opportunities that would supplement offerings available through CREATE and benefit creatives.  Includes scheduling and hosting technical assistance appointments and seminars
  • Manage grant selection panels (identify and confirm regional panelists, manage panel process) 
  • Organize Grant Award Ceremonies for respective grant programs 
  • Coordinate professional development workshops that support community members develop projects and materials for opportunities that further their creative and arts-centered programmatic pursuits
  • Travel to attend grantee events and related events, maintain relationships with partner organizations and grantee alumni
  • Report on application and program outcomes to the Board and as needed to respective audiences (ie. public, government representatives)
  • As time permits, provide administrative support to CREATE’s exhibition, performance, and other programs 

Essential Skills: 

  • A passion for and knowledge of the region’s community arts scene and presenting organizations. 
  • Ability to remain flexible and focused in a demanding work environment and to prioritize deadlines and assignments efficiently. 
  • Detail oriented with an ability to learn and translate complex requirements & guidelines and apply them to grant administration.
  • Solid administrative skills that include an ability to establish and maintain long-term planning calendars, maintain organized records, and report on program outcomes. 
  • Strong written and spoken communication skills to accomplish program outreach and publicity goals, including explaining the grant program and its requirements to potential applicants in group seminar-style meetings and one-on-one conversations. 
  • Availability to attend evening and weekend meetings and events across the service area.
  • A valid driver’s license and reliable transportation to communities throughout Columbia, Greene and Schoharie Counties. 
  • Strong computer skills and expertise in Google Suite and experience with design software (Canva, Adobe). Familiarity with form building/submission software (like JotForm), and/or experience in website maintenance.
